 Your Options

We offer parents and carers the choice of two different booking formats – Contract and Ad hoc.

  • The contract method allows you the security of long term guaranteed sessions.
  • The Ad hoc method allows you the flexibility of being able to book sessions as and when you need them, availability of these sessions is not guaranteed until the booking is confirmed. Sessions can be booked up until 30 mins before the start of a session. If you need to book after this time then we ask that you call the office and we will manually process the booking for you. The reason for this is because we need to communicate last minute changes to staff and schools.
  • You can also combine the two by having a contract for days you wish to use regularly and top up with ad hoc sessions if required.

The booking method used is completely your choice however if you use a contract we stipulate that 1 months’ notice of cancellation is required. This allow us to plan communication, recourses, food, activities, staffing (according to ratios) and many other processes accordingly.

We manage childcare for over 400 children and we process many changes and cancellations on a daily basis.

The booking system and related policies and procedures are planned and utilised very efficiently so as to ensure the high quality operations behind the scenes result in the high quality of care that we provide.

Contract Booking

If you require regular/long term childcare you can book breakfast and after school club sessions on a contract basis. *subject to availability.

Contract bookings can be made up to 4 weeks in advance.

To make a booking

  • Click the Book online button and create an account.
  • Once you have created an account and entered all details required you can then log in and select the “make a contract booking” option and select the venue required.
  • Select which children you wish to book sessions for.
  • Choose sessions, select a start date and click book.
  • Next review the parents/carers and emergency contacts, click next to confirm this is correct or edit to make any necessary changes.
  • Review the medical information, click next to confirm this is correct or edit to make any necessary changes.
  • Review the custom information, click next to confirm this is correct or edit to make any necessary changes.
  • Read and agree to our terms and conditions and select consents you agree to. When you click next you will see a message appear saying “an email has been sent to you containing the details of the sessions you requested. We will be in contact once we have reviewed your request”.
  • Upon receipt of your contract request we will approve or decline your chosen sessions subject to availability. If your contract is approved it will continue on a rolling basis until 1 month notice is supplied by email.
  • If we have to decline your booking or part-of due to lack of availability, we will contact you to discuss how to proceed. You can then choose to be placed on our waiting list or to select alternative sessions if this is possible.
  • A booking confirmation will be issued to the primary email address upon approval of your booking. Upon receipt of this email please click on the confirm payment for the booking link and select your method of payment.

If you have a contract with us you will issued with an invoice on the 20th of each month

Your fees are due 1 month in advance and the invoice is payable by the 1st of the following month. *For example if you receive an invoice on 20 August for sessions in September, your invoice would be payable by 1 September.

Please note: your contract booking is not confirmed until you received a booking confirmation email.

Adhoc Booking

If you require occasional childcare you can book breakfast, after school and holiday club sessions as and when you need them, even up until the start of the session!! *subject to availability. If you require holiday childcare we are very flexible and (subject to availability) you can book individual sessions or the entire holiday period. We offer 7 different session times, please view our opening times and fees below.

Adhoc bookings can be made up to 12 weeks in advance.

To make a booking

  • Click the Book online button and create an account. You can then log in and select the make an adhoc booking option and selecting the venue required.
  • Select which children you wish to book sessions for
  • Choose dates and sessions and click book.
  • Next review the parents/carers and emergency contacts, click next to confirm this is correct or edit to make any necessary changes.
  • Review the medical information, click next to confirm this is correct or edit to make any necessary changes.
  • Review the custom information, click next to confirm this is correct or edit to make any necessary changes.
  • Read and agree to our terms and conditions and select consents you agree to.
  • Lastly select your method of payment and complete your booking.
  • A booking confirmation will be issued to the primary email address supplied  upon completion of your booking. 
  • If you are making a payment by bank transfer, childcare voucher please arrange payment immediately.

Adhoc bookings are allocated according to live availability and therefore once booked and payment is made they are guaranteed.

Changes & Cancellations

  • 1. One month’s written notice of your intention to reduce the number of sessions/days your child/children attends CKCL must be given, or one month’s fees paid in lieu of notice for the number of sessions/days reduced by. Cancellation will only be accepted if given in writing by way of an email to: admin@creativekidz.org.uk. We shall acknowledge receipt of written notice by email to the primary email address supplied by the customer. The Notice period will not take effect until we have acknowledged receipt of written notice. You must include your child’s full name, the name of the setting your child attends and which sessions you wish to cancel. Text messages, phone calls or handwritten letters passed to members of staff will NOT be accepted as a form of written notice.
  • 2. Please let us know if your child will not attend during the notice period so that we know whether they will be attending or not and whether or not to expect them to arrive.
  • 3. Notice will be effective from the day it is received by the manager. If notice is received out of hours (8am to 6pm Monday to Friday), it will be effective from the subsequent working day.
  • 4. If you wish to change your contracted sessions or book additional sessions, you must send an email to head office admin@creativekidz.org.uk stating your child’s name and explaining which sessions you wish to remove and which sessions you wish to add. All bookings are allocated in accordance with our admissions policy.
  • 5. CKCL must be informed 1 month in advance of any changes to your booking and this notice period is payable. We do not swap sessions.
  • 6. Cancelations are subject to One month’s written notice of your intention to withdraw your child (children), or one month’s fees paid in lieu of notice.
  • 7. CKCL is closed on all English Bank Holidays. Contract and ad hoc breakfast and after school club availability is as per published school term dates, the breakfast and after school clubs are closed during school holidays and on inset days unless otherwise notified.
  • 8. Fees are not charged for school holidays unless we are operating a holiday club and you have booked holiday club sessions.
  • 9. If you cancel an ad hoc session, you are still liable for the cost.
  • 10. If you cancel a holiday club session within 1 month of the start date you are still liable for the cost.
  • 11. Completion of an online booking form is required for each and every booking including ad hoc sessions.
  • 12. Ad hoc sessions can be booked up to 12 weeks in advance.
  • 13. Availability of ad hoc sessions cannot be guaranteed. Live availability of ad hoc session is shown during the booking process.
  • 14. CKCL may, in its absolute discretion, take the decision to close without prior notice, due to Adverse weather, Building damage, Acts of terrorism, Power cut, Covid-19 Self isolation of staff/children/parents/school staff, Sickness experienced by staff/children/parents/school staff or other circumstances outside our control. If CKCL should close in such circumstances, we shall be under no obligation to provide the contracted services or to provide alternative care facilities for the child and the Parent/guardian will not be entitled to any credit, refund of fees or sessions in lieu. The following factors may force an urgent closure of our Clubs. Whether you are charged for pre-booked/confirmed places will depend on the reason for the closure.
  • 15. Parents/guardians who have submitted a booking including those whose children have not yet commenced their childcare at CKCL are obliged to give not less than 1 month’s written notice of any required reduction or cancelation of the contracted services. Where less than 1 months’ notice is given, CKCL reserves the right to charge a one off fee equal to the daily rate of the reduced sessions.
  • 16. Upon termination of the contract for whatever reason, whether by notice or otherwise, CKCL shall have no further obligation to provide the contracted services.
  • 17. The 1 month written notice period condition will still apply when transferring responsibility of an existing booking to another person, for example an ex-spouse or another family member. The person who made the original booking will remain responsible for the payment during the notice period.

We currently accept childcare vouchers from most if not all voucher providers, however if you wish to use vouchers from any provider we are not currently registered with, i.e. your employers in-house vouchers, we would be happy to register with them, all you need to do is to contact us – 02380455699 and admin@creativekidz.org.uk

  • Tax Free Childcare
    The government is introducing new ways to help parents with childcare costs.

Blue Light Card Holders Discount

Not all of our services are available at every venue, check out our Breakfast Club, After School Club and Holiday Club pages for venue offerings.

  • This offer is only applicable to blue light card holders only.
  • 10% Discount on a block booking of 1 full week of holiday club (Monday to Friday) Session 7: 8am to 6pm. Bookings must fall during the same holiday period.
  • 10% Discount on a block booking of 5 Ad hoc term time breakfast club sessions. or 5 Ad hoc term time after school club sessions. Dates booked must fall within the same date range i.e. Spring Term 1, Spring term 2, Summer Term 1, Summer Term 2, Autumn Term 1, Autumn Term 2.

    • This referral discount will only be given for referring a new customer – someone who has never used Creative Kidz Childcare Ltd before.

    • We will apply a 10% discount to the invoices for both the referee and the referral customer ( the person you are referring) once the person being referred places their 1st Holiday Club Booking in accordance with our terms and conditions.

Referral Form

Late Collection Fee

A £15.00 penalty fee will be charged per 10 minutes or part thereof, time will be taken from the club register upon collection.

This is non negotiable. 

The late fee is charged to enable us to re-coup associated losses and also acts as a deterant. Please ensure you have given us contact details for an emergency contact who may collect your child in an emergency. They must be local and available in an emergency situation.

Late Payment Fee

A £10.00 administration fee will be charged for each week that the invoice is late.

Ad hoc fees including holiday bookings are due for payment upon receipt of the booking confirmation.

Contract invoices are issued on 20th of each month and payment is due on 1st of the following month.

Safeguarding
  • The safety and wellbeing of each child is paramount!
  • We ensure that all venues are throughly risk assessed and monitored to ensure that they comply with health and safety requirements.
  • Staff are trained to recognise hazards and how to eliminate or control them.
  • You will easily recognise our team by their company uniform displaying our company logo and their company Id Badge.
  • Safeguarding children is at the heart of everything we do, to this end we have appointed a Designated Safeguarding Lead (DSL) who is responsible for children’s safety and wellbeing.
  • If you ever have a concern regarding the safety or wellbeing of our children, please contact our Designated Safeguarding Lead  Kelly Keeling – 02380455699
  • Only pre approved carers named on your registration records can collect your child. To add additional carers please contact us. People unknown to staff will be asked to prove their identity so please ensure that they bring a form of ID, they will also be asked to provide the password you recorded upon registration.

Changes of Collection Arrangements
  • Please make sure you provide us with the details of at least 2 emergency contacts. These people must be people that you authorise to collect your child.
  • These people need to be living locally or able to collect your child in an emergency.
  • We will only allow your child to be collected by someone other than those named on the child’s records if we have received prior consent by e-mail, by text message from the parent’s pre-registered contact number or verbally via the child’s parent/guardian. The person notifying the changes must provide us with the pre-registered password. Any changes notified will be recorded in the club diary.
  • If you wish to provide us with additional contacts/people who are authorised to collect your child, please supply us with an email detailing the full name and contact details of the person collecting so that we can add them to our list of authorised persons.
  • The person collecting must provide us with the pre-agreed password and a form of photographic ID for verification purposes.
  • Only club staff can answer the door or let anyone into the setting.
  • Staff will only allow access to individuals that they recognise and know are authorised to collect a child. 
  • A staff member who does not recognise an adult collecting a child will ask for the adult’s name and their relationship to the child. They will then politely ask the person to wait in reception or outside the setting.
  • Staff may call a child’s parents/carers to clarify any confusion or allay any concerns if necessary.  On occasions when parents/carers are aware that they will not be at home or in their usual place of work, they must inform a member of staff who will record how they can be contacted in the club diary.
  • Cover staff must authorise all collections by checking that the adult is on the authorised emergency contact record or that we have received authorisation from the child’s parents in accordance with clause 7d and 7e.
Late Collection
  • If you are going to be then you need to contact the staff at the setting your child attends to let them know.
  • We do understand that sometimes this is unavoidable but please make sure that you have a contingency plan in place. Some of our team use public transport to travel to and from work and as this is limited in some areas, late collection can mean that they are not getting home to their families until late into the evening. In addition to this, the relationship we have with site managers at each of our settings is vital to operation and if we are late out of the building, they have to stay on later in order to lock up, they are not paid for this and are not happy to do so, therefore please take all this into consideration.
  • Late collection charges will be charged as per published price list.
Absence
  • Parents/Guardians must notify the club and the school that your child attends if your child will not be attending a club session. This is important for your child’s safety. If your child is not going to attend a session, please let a member of the staff know before the session starts.
  • Please do not assume that if school personnel know of the absence of a child, the club staff will know as well, as Creative Kidz Childcare Ltd is a is a totally separate organisation. Please call, text or email the club that your child attends.
  • If you need to leave a message, please request a call/text you back to ensure they have your message. Do not contact the Creative Kidz Childcare Ltd office to report absence as we may not be able to pass on the message to your child’s setting in time.
  • Parents/Guardians must notify the setting their child attends, as soon as possible if their child will not be attending i.e. going to friends for tea or staying behind for after school activities; as if the child does not arrive when expected we will then implement the missing child procedure.
  • If your child is attending a club or has a sporting event after school and will be late to the Creative Kidz Childcare Ltd, please notify our members of staff, as we have to use valuable time finding out the reason for the absence.

 

Illness, Medication & Intimate Care
  • If your child has special requirements including medical, allergy or otherwise, you may also be asked to complete a Health Care Plan giving staff an insight into your child’s condition and what to do in an emergency situation.
  • We encourage older children to become independent with personal care. Toilet facilities are easily accessed by children; if you have any concerns regarding intimate care please notify us in advance and discuss your child’s individual circumstances with their Key-person.
  • If your child has any special requirements including allergies or medical needs, hopefully you have recorded them upon registration. If there is something you forgot to mention please inform the staff and we are happy to add the information to your child’s account.
  • If your child requires medication such as inhalers or auto- injector (epipen) please ensure you complete a Medication Consent Form and ensure that your child’s medication is always at the club on the days your child attends
  • Any medication your child needs to take whilst they are within CK care must be clearly marked with the child’s name and dosage instructions.
  • A child who, in the opinion of the CK management, is obviously ill when they arrive at the club will not be accepted. This includes children who have been given medication (such as paracetamol) that may have masked symptoms.  If your child becomes unwell while in our care, we will to contact you, explain the situation, and ask you to collect your child as soon as possible. In certain circumstances, you may be asked to contact your own GP’s practice for further assistance. In addition to children who are unwell, children with any ailments considered infectious or contagious will be excluded from the club for the allocated period of time. Click here for guidance on infectious illness exclusion periods.
  • Medication will never be given without the prior written request of the Parent/Guardian; we require written information so a signed and dated Medication Consent Form must be in possession of Creative Kidz before administering medication. The information requested includes frequency, dosage, any potential side effects and any other pertinent information.
  • All medication must be handed to a staff member. Under no circumstances must any medication be left in your Child’s bag.
  • It is a requirement that all children must have followed the NHS Vaccination schedule. Parents will be asked to confirm their child’s vaccination status upon registration, if this status changes it is the responsibility of Parents to inform the manager. This is in order to prevent the spread of potentially life threatening diseases such as Measles.
  • Medication consent forms can be downloaded from our website and e-mailed to admin@creativekidz.org.uk; you must not assume that we have received this unless you have received confirmation either verbally or by e-mail.
  • If you child has special requirements, please inform us upon registration. In some instances we may ask you to complete a Health Care Plan giving staff an insight into your child’s condition and what to do in an emergency.
  • Children attending Creative Kidz with an injury, however small, whether this happens at home or at Creative Kidz must have this recorded on an accident form.
  • We don’t have access to medication left at school therefore please supply us with whatever you have specified your child may need.
Clothing & Equipment
  • Please provide your child with suitable clothing for indoor and outdoor activities, including sun hats & sun cream during warmer days. Warm clothing and a waterproof coat when the weather is colder/rain is predicted.
  • No open-toe shoes.
  • Please remember to put sunscreen on your child before they arrive and make sure they have their water bottle with them.
  • We will keep your child in the shade as much as possible and ensure they have access to water throughout their time with us.
  • Parents must provide a lunch box if their child is attending during lunchtime – 12:30 – 13:15.
  • Creative Kidz settings are a Nut Free zone! Please do not provide your child with any food which may contain nuts! We have children enrolled at Creative Kidz who have severe dietary needs, therefore, we are unable to permit food containing the following products: nuts of any kind including peanuts and peanut products, egg, or shellfish.
  • Please supply your child with a towel and appropriate swimwear including a t-shirt ( no bikinis ) for every holiday club session, in case we have an impromptu water play session.
Adverse Weather Plan
  • Any decision whether or not to open Creative Kidz breakfast and after school clubs lies with the company and individual schools we operate from taking into consideration their specific snow closure policies.
  • Factors taken into account may include, site conditions, weather conditions and road conditions reported by Southampton, Portsmouth and Hampshire County Council and information published on the Met Office website.
  • Primarily, the outcome of a risk assessment, taking into account the conditions of the sites and how this could affect the health and safety of children, staff, parents and visitors will determine whether or not the schools allow our clubs to operate.
    The decision will be posted on the individual school websites and the Government School Closures webpage.
  • We shall post updates on this website and issue information via our social media pages – facebook and twitter.
    As a general rule, if your child’s school is closed, we shall also be closed.
Communication & Data Protection
  • Communication will be given to parents either by newsletters which are emailed to the primary email address supplied, displayed on our notice board, and our website. We will also issue emails now and again giving information to parents and guardians.
  • Please keep us updated by email if you change your contact information.
  • Please keep us updated by email if your child experiences any medical issues/changes.
  • Special events and outings are always made known to parents with as much notice as possible.
  • If you would prefer communication on paper format please speak to the supervisor of your child’s setting.
  • Please be aware that we are a completely separate organisation from the schools we operate from therefore the they are not obliged to pass on information about absences for example.
  • Our office number can be used for general information, booking or invoicing information between the hours of 8am and 6pm. The setting mobile phones are only manned during the club’s hours of operation.
  • We have both a facebook page, Instagram and twitter accounts. We have also recently introduced a Pinterest account where we can share activity ideas. We respectfully ask that parents and staff do not discuss any Creative Kidz related issues on Facebook, twitter or other social network sites. Please be aware that these sites are often public, and information could innocently be placed in the wrong hands. We thank you for your co-operation with this.
